Privacy Policy

Last updated: October 31, 2026 Who we are: Doctelligent is run by Doctelligent AI, LLC ("we", "us"), 6545 Market Ave. North, Suite 100, Canton, OH 44721. Questions about privacy: support@doctelligent.ai.

Doctelligent turns bank statements and receipts you upload into spreadsheets, accounting files and expense reports. This policy says what we collect, why, who processes it for us, how long we keep it, and what you can do about it.

What we collect

  • Your account: your email address, a user id from our sign-in provider, the date you signed up, and your pages balance and purchases (what you bought, when, and how many pages each statement or receipt used).
  • Your statements: the files you upload (PDF or images), and what we read from them: bank name, account numbers as printed (often masked), statement periods, balances and transactions. Edits you make on the review screen are saved too, with the values we first read, so you can see what you changed.
  • Your receipts: the files you upload (photos, scans or PDFs), and what we read from them: merchant, date, amounts (subtotal, fees, tax, tip and total), currency, the items bought, an expense category, and the card's last four digits when they're printed. Your edits (with the values we first read), your notes, which statement transaction a receipt is linked to, and any link you removed (so it isn't made again automatically) are saved too.
  • Your tags: the names you give your statements and receipts to group them.
  • Emails you send us at support@doctelligent.ai, and our replies.
  • Payments: handled by Stripe, through Link. We never see or store your card number. We keep the Stripe customer and subscription ids that link your account to your payments.
  • Error reports from the web app: when the app hits an error in your browser, a report goes to Sentry. Reports leave out your IP address, cookies and identity, and we remove email addresses, amounts and long numbers from the text before it's sent.
  • Service logs: our servers record requests and errors (time, which feature was used, errors) to keep the service running. They don't record your files' contents.

We don't sell your data, use it for advertising, or use your statements or receipts to train AI models.

Why we use it

  • To provide the service: read your statements and receipts, show them for review, link each receipt to the statement transaction that paid it, produce your downloads, and keep your pages balance.
  • To take payments and keep the records the law requires.
  • To keep the service secure and working: find and fix errors, and stop abuse (for example, limits on how many files one account can upload).
  • To contact you about your account, such as changes to prices or to these terms.

Who processes it for us

Company What for Where
Microsoft (Azure) Hosting, storage, database, and reading statements and receipts with Azure Content Understanding and Azure OpenAI models United States (Azure's US regions and US Data Zone)
Microsoft (Entra External ID) Sign-in and sign-up United States (North America)
Google Sign-in, if you choose "Sign in with Google" Google's services
Microsoft (Microsoft 365) Our support mailbox United States
Stripe Payments. Stripe is the seller of record for purchases (Managed Payments), sold through Link, and processes your payment details under its own privacy policy. Stripe's services
Sentry Error reports from the web app United States

Your statements and receipts are processed in the United States. Azure Content Understanding keeps a file's results for up to 24 hours after reading it, then deletes them. Microsoft doesn't use the data to train its models. Microsoft's automated abuse monitoring checks what is sent to the AI models; if it flags something as possible misuse of the service, Microsoft may keep that content, in the United States, for review by authorized Microsoft staff.

Cookies and browser storage

The app doesn't use cookies, analytics or advertising trackers. To keep you signed in, it keeps your sign-in tokens in your browser's storage, with how you last signed in (Google or email, and the email address) so the next sign-in starts the same way. A few flags for sign-in and checkout last only while the tab is open. Signing out removes the sign-in tokens; deleting your account also removes how you last signed in, on that browser. The marketing site at doctelligent.ai has no scripts and stores nothing in your browser. Stripe's checkout and billing pages are Stripe's own, under its cookie policy.

How long we keep it

  • Statements and receipts (files, what we read, your edits, notes and tags, and the links between receipts and transactions) are deleted automatically a year after upload, or sooner when you delete them. If you need receipts for longer, for example as tax records, keep the expense report download with the receipt files.
  • Your account stays until you delete it from the account page. Deleting it cancels an active subscription and deletes your statements and receipts.
  • Backups: deleted files can stay in storage backups for up to 14 days, and database backups keep earlier versions for up to 7 days. After that they're gone.
  • Logs are kept for 30 days.
  • Emails to support stay in our mailbox until we delete them; ask and we'll delete yours.
  • What deleting your account leaves:
    • your sign-in account with Microsoft Entra (your email address and user id). Write to support@doctelligent.ai and we'll delete it within 30 days;
    • a record that your user id had an account, so a new account under it doesn't get free pages again;
    • your customer record and purchase history at Stripe, which Stripe keeps under its own policy, for example for tax. You can ask Link to delete your payment data;
    • service logs and error reports from before the deletion, until they expire (logs after 30 days).

Your choices and rights

You can see and correct your statements and receipts in the app, download them, and delete them or your whole account at any time. Write to support@doctelligent.ai to ask for a copy of your data, to correct or delete it, or to object to how we use it. Depending on where you live, you may have more rights by law (for example in the EU, UK or California).

Security

Data is encrypted in transit and at rest. Each account's statements and receipts are kept separate from every other account's: every request is scoped to the signed-in account.

Children

Doctelligent is for businesses and adults. It isn't meant for anyone under 18.

Changes

If we change this policy in a way that matters, we'll email you before it takes effect. The date at the top says when it last changed.
